Information regarding completing project funding acquittal reporting in Online Grants.

Important!

If your project funding application is successful you will be required to complete the funding acquittal report within 90 days of the project end date specified in your funding agreement.


Check your report due date and access your draft report in Online Grants via the Edit/View Report button on your Home page. The draft report can be accessed once a copy of your signed funding agreement has been received.


If there is more than one instance of the Online Grants account or Online Grants web page open, details entered will not be saved. See further details on technical and navigation tips below.


What do I need to include in the report?

The report details your activity and how you spent the grant. The information you need to provide is outlined below.

Activity report

The report will include one or more questions to respond to about the activity outcomes and what you achieved.

Financial information

The report will include your activity budget and you will be required to enter all the actual figures against each budget item and add any additional items not in the original budget.

Variations between budget and actual figures are acceptable; however, you must provide an explanation for large variations in the Notes for that item.

As you enter actual figures, the activity profit/loss will be automatically updated and displayed at the top of the Financial Information page.

Project outputs

You will be required to enter actual figures against the planned project outputs for your activity in the Project Outputs section of the online report. This will help you evaluate your project outcomes and allow the department to demonstrate the value of its funding programs.

It is understood that your actual outputs may be different to the planned outputs. The priority is to capture accurate data about what you did. Entering accurate data in your acquittal report is critical so that the department can report what you achieved.

Support material

You will need to attach relevant documents, images and videos that substantiate the delivery of the activity and that may demonstrate the impact and outcomes achieved.

If possible, please provide your support material in one PDF document (for text). Audio, images and video material to be supplied separately as applicable. Refer to your activity outcomes for guidance in selecting suitable support material.

Preferred browsers

This web application is optimised for use with recent versions of Google Chrome, Microsoft Edge, or Safari in combination with Windows or Mac OSX.

Update your browser and clear your cache

Before starting your application, it is recommended that you update your browser to the latest version and clear your browser history/cache.

Field level help

Hover your mouse over the icon for further details to assist you to complete that particular field.

Information

Click on the icon on the top right for further helpful information about the page. The information will open in a new tab.

Save your data

Ensure the details you enter are saved by using the Save buttons on each page of the online application. Do not use the main browser ‘back’ or ‘forward’ buttons to move between pages. It is recommended that you save the details entered every 10 to 15 minutes to ensure your data is not lost through system timeout or internet connection issues.

Character limits

Observe the character limits stated for each text field. Ensure you clear all formatting before you copy and paste into text fields and do not paste over the character limit stated for the field. Do not include URLs in any text fields other than the Support Material section.

Save and Sign Out

Each time you exit your draft application ensure you click on Save and Close to ensure all data is saved. Ensure you sign out of Online Grants after each session. Ensure all Online Grants web pages are closed after each session.

If there is more than one instance of the Online Grants account or Online Grants web page open, details entered will not be saved.

Documenting your activity

Images of your activity provide a simple and straightforward means of showing your activity was delivered as described in your original application.

When you submit an acquittal report with images, the best images may be considered for use on our website and in promotional materials. This is a valuable opportunity for publicity. If you would like your images to be considered they must be high quality, have information so we can appropriately credit them and an image permission form for us to use them.

To ensure you capture the best possible images for documentation and promotion make sure you:

  • Use a good camera. Phone cameras may be convenient, but the quality and resolution of phone camera images may not be suitable for publication.
  • Set your camera for at least 300 dpi and/or set it to save the image at between 1MB and 5MB.
  • Include photos taken during the development stages of your activity as well as the final activity.
  • If you give us images taken by someone else, ensure you clarify copyright ownership and seek agreement or permissions for you to share those images with us.
  • If children are pictured, seek the consent of a parent or guardian at the time of taking the photograph and include that consent in your acquittal. We cannot publish images featuring children if consent cannot be verified.
  • Take notes to help you remember who or what was in the photograph, where it was taken and when. You will need to provide this information in your image submission form.

The Permission to use Audio Visual materials form can be downloaded from the Logo and acknowledgements page to complete and attach with your support material.
