This information provides an overview of the requirements for project funding acquittal.

Please Note
  • If your project funding application is successful you will be required to complete the online acquittal report when your activity has finished.
  • An acquittal report details your activity and how you spent the grant.
  • The acquittal report will be available for you to access in Online Grants, via the Edit/View Report button on your Home page, once a copy of your signed funding agreement has been received.
  • Your acquittal report must be submitted within 90 days of the activity completion date or as specified in your funding agreement.
  • You will need to attach relevant documents, images and videos that substantiate the delivery of the activity and that may demonstrate the impact and outcomes achieved.
  • Refer back to your activity outcomes for guidance in selecting suitable support material.
  • If possible, please provide your support material in one PDF document (for text). Audio, images and video material to be supplied separately as applicable.
  • The report will also include your activity budget and you will be required to enter all the actual figures against each budget item and add any additional items not in the original budget.
  • Variations between budget and actual figures are acceptable; however, you must provide an explanation for large variations in the Notes for that item.
  • As you enter actual figures, the activity profit/loss will be automatically updated and displayed at the top of the Financial Information page.
  • You will also be required to enter actual figures against the planned project outputs for your activity in the Project Outputs section of the online report. This will help you evaluate your project outcomes and allow the department to demonstrate the value of its funding programs.
  • It is understood that your actual outputs may be different to the planned outputs. The priority is to capture accurate data about what you did. Entering accurate data in your acquittal report is critical so that the department can report what you achieved.
  • The accurate capture of Project Outputs within your acquittal report ensures that the data can be used to highlight trends in the arts, cultural and creative sector and provides the basis for advocacy and benchmarking for the cultural and creative industries on a state, national and international level.
  • The funding acquittal report also includes the option to provide feedback to help us to continually review and improve the service we provide.

Acquittal images: documenting your activity

Images of your activity provide a simple and straightforward means of showing your activity was delivered as described in your original application.

When you submit an acquittal report with images, the best images may be considered for use on our website and in promotional materials. This is a valuable opportunity for publicity. If you would like your images to be considered they must be high quality, have information so we can appropriately credit them and an image permission form for us to use them.

To ensure you capture the best possible images for documentation and promotion make sure you:

  • Use a good camera. Phone cameras may be convenient, but the quality and resolution of phone camera images may not be suitable for publication.
  • Set your camera for at least 300 dpi and/or set it to save the image at between 1MB and 5MB.
  • Include photos taken during the development stages of your activity as well as the final activity.
  • If you give us images taken by someone else, ensure you clarify copyright ownership and seek agreement or permissions for you to share those images with us.
  • If children are pictured, seek the consent of a parent or guardian at the time of taking the photograph and include that consent in your acquittal. We cannot publish images featuring children if consent cannot be verified.
  • Take notes to help you remember who or what was in the photograph, where it was taken and when. You will need to provide this information in your image submission form.
  • Download a copy of the Permission to use Audio Visual materials form to complete and attach with your support material.
